Fixing Outlook Signature Problem – Composing or Replying to Rich Text Emails

Having a Microsoft Outlook signature problem ?

Its one thing to have a great looking Outlook signature, but have you checked how it looks on both HTML and Rich Text emails

I had one such Outlook signature issue, it looked great on HTML and I never gave it a second thought as this was all I used, until one day when I received a rich text email, I replied to it and inserted my signature and it looked really awful.

How Different Two Identical Outlook Signatures Can Look

As you can see it looks fine in HTML, but use the signature in Rich text and its another story, not only has it added spaces, but the whole of the Computer Adviser title in the green banner has vanished.

After much looking around I was told the only way to fix my Outlook signature problem was to have two signatures, one for HTML and the other for Rich Text, but after playing around I found a simple way of fixing Outlook signature problems by using a single signature.

Firstly disable word as your default email editor by un-ticking the two Use Microsoft Office Word tick boxes then select Rich Text as your default email type, select apply, now create your signature.

You can copy your HTML signature and paste it into the new one, but you must first paste it into another application such as WordPad and then copy it again, otherwise simply pasting will paste it as HTML and give the same Outlook signature problem.

Your new signature will be created in Rich Text which should work in both Rich Text and HTML

(when working with Rich Text signatures don’t try to use .5 text
sizes, for example 7.5 as it will not allow this, if copying a HTML
signature with any .5 text sizes the size will need to be rounded down
or up)

Now change back your default email type to HTML and test.

As you can see below the Rich Text and HTML signatures do look very similar in both.

Now Both Rich Text & HTML Signatures Should Look More or Less the Same

The main secret to making your Outlook signature look the same for both HTML and Rich text involves firstly creating the signature using Rich Text as the default message type, and secondly don’t make the signature too complicated in terms of boxes, and banners etc, also remember to use whole point sizes no .5’s.
